Civil Justice, Inc Administrative Assistant The Administrative Assistant supports Civil Justice Inc.’s (CJ) program and legal service program. The Administrative Assistance coordinates office services such as legal referral service, drafting correspondence, managing client intake and electronic filing system, and other administrative activities for the organization; exercises independent judgment in the resolution of administrative problems. This position reports to the Executive Director. The Administrative Assistant: •Maintains confidentiality of information. •Receives, screens and responds to inquiries on the phone or in writing. Provides general information about CJ and the multiple projects CJ currently operates. Makes appropriate referrals on inquiries requiring specific legal advice. •Sorts and files mail received on a daily basis. •Coordinates calendars for the Executive Director and other staff. •Orders supplies for the office. •Maintains all client files, including pleadings, motions, retainer agreements, and correspondence. •Assists with special event planning such as board meetings, attorney member functions, and trainings. •Operates personal computer to access e-mail, electronic calendars, and other basic office support software. •Uses various software applications, such as MS Word, Excel, Access, Publisher, and Adobe Acrobat to assemble, manipulate and/or format data and/or reports. The Administrative Assistant has no special certification requirements. The Physical Requirements for the Administrative Assistant include: •Sitting in a normal seated position for extended periods of time •Reaching by extending hand(s) or arm(s) in any direction •Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard •Communication skills using the spoken word •Ability to see within normal parameters •Ability to hear within normal range •Ability to move about This Position Description describes the general nature and level of work to be performed and is not to be construed as a complete list of all responsibilities.
